The Opportunity
Our client, an established and growing SME Main Contractor operating within the construction and housebuilding sector, is looking to recruit an experienced, highly organised and proactive Office Administrator to join their Head Office in Sevenoaks.
This is a varied and hands on position, supporting the Office Manager and wider business with day to day administration, document control, compliance records and general office coordination.
The business is looking for someone who can confidently juggle multiple responsibilities, bring structure and organisation to a busy working environment and take ownership of tasks.
The successful candidate will work closely with various departments, including Construction, Commercial, Technical and Finance, helping to ensure the smooth and efficient running of Head Office operations.
This role would particularly suit someone who enjoys working within a smaller, growing business where priorities can change quickly, everyone works together and a positive, proactive attitude is essential.
The position is fully office based and would ideally suit candidates living locally in Sevenoaks, Tonbridge, Tunbridge Wells, Swanley, Orpington, Bromley or surrounding areas.
The Role
As Office Administrator, you will provide essential support to the Office Manager and wider business, ensuring administrative tasks, documentation, communications and compliance requirements are managed efficiently.
Key Responsibilities:
Providing day to day administrative and organisational support to the Office Manager and wider business.
Managing incoming telephone calls, emails, correspondence and general office enquiries.
Managing document control processes, including SharePoint filing, document registers and version control.
Monitoring compliance trackers, insurance documents, training records, certificates and renewal deadlines.
Maintaining task lists, reminders and action trackers, ensuring outstanding items are followed through to completion.
Liaising with internal departments, suppliers and subcontractors to obtain information and coordinate administrative requirements.
Supporting new starter administration, induction arrangements and training bookings.
Managing office supplies, stationery, deliveries and general office requirements.
Preparing correspondence, meeting minutes, reports and other administrative documentation.
Identifying opportunities to improve office processes, filing systems and administrative efficiency.
About You
We're looking for someone who is naturally organised, enjoys being busy and has the ability to manage several responsibilities simultaneously while maintaining a structured and methodical approach.
The right attitude, initiative and ability to multitask are particularly important for this position.
The ideal candidate will have:
Previous experience in an Office Administrator, Office Coordinator or similar administrative support role.
Experience within construction, housebuilding, property or an SME environment would be advantageous.
A structured and methodical approach to managing workloads, deadlines and administrative processes.
A proactive, positive and can do attitude, with a willingness to get involved wherever needed.
The confidence to use their own initiative and take ownership of responsibilities.
Strong attention to detail and the ability to follow tasks through to completion.
Excellent communication skills and a professional, approachable manner.
Confidence using Microsoft Office, including Outlook, Word, Excel and Teams.
This role would particularly suit someone who enjoys working within an SME environment and is comfortable wearing several hats, managing changing priorities and helping wherever needed.
The company is looking for someone who can think ahead, keep things organised and ensure tasks are completed rather than simply waiting to be instructed.
